TIP OF THE WEEK: KNOW YOUR NUMBERS By Caroline Ceniza-Levine Tangible, quantitative job descriptions are always ideal: revenues generated; costs saved; profits grown; number of staff managed. However, not everyone has a job that directly drops to the bottom line or that has direct management responsibility for staff. In these cases, however, you still need to know the numbers relevant for your company, your department and your position: How big is your company: operating budget if a non-profit or revenues if a for-profit; number of full-time staff? Bonus: is that bigger or smaller than your competitors? How big is your department? What proportion is your department of the total company? What is its operating budget? How many customers or consituents do you serve? What are your functional metrics? If you are a receptionist, how many calls do you take in a day? If you have an administrative role, how many files do you maintain? If you are in IT support, how many servers, desktops, users? If you are in recruiting, how many people do you hire? If you are a grants manager, how many applications do you screen? I recall interviewing a recent graduate for a finance/ business office position. While he was a business major, he did not have directly relevant experience; he had retail and hospitality jobs. But for his most recent employer (a movie theater) he knew the typical audience size, the typical concession sales, and how these numbers differed depending on the show and the day of the week. He had a sense of the business that many experienced candidates I’ve interviewed do not have. He was hired. Numbers give the recruiter a sense of scale and show that you are aware of details and the overall business. In a market that is increasingly bottom-line driven (even non-profits are pressured to show quantifiable results) knowing your numbers gives you a competitive advantage.
